Planning Events Abroad: How We Pulled Off an Incredible Experience in Paris

We're sad, but honor-bound, to report, producing an event in another country isn’t all croissants and Eiffel Tower views. It takes international coordination, a ton of patience and creativity, and the kind of flexibility only seasoned event pros bring to the table.


We recently had the chance to bring a program to life in Paris (yes, that Paris), and while it turned out to be magic, it didn’t come without its curveballs. Keep reading to see how we made it all happen and how we turned big hurdles into seamless guest experiences.






The Realities of Producing Events Internationally

Planning events in another country comes with a whole new rulebook. We mean that figuratively AND literally! In addition to making sure we understand the pertinent laws and regulations in the country we're planning in, we navigated:


Time zones that mess with your calendar

Juggling late-night calls and early-morning emails with overseas partners becomes your new normal and your calendar starts to look like a game of Tetris.


Language barriers

Even with English-speaking partners, nuance matters. We leaned on translation tools and super clear visuals to make sure our creative ideas didn’t get, well, lost in translation.


Remote venue selection

When you can’t just pop over for a walk-through, you’ve got to trust your sources. That meant thorough video tours, layout diagrams, and leaning hard on local experts to fill in the gaps.


Vendor vibes that don’t match your usual rhythm

From different material options to unexpected load-in procedures, we had to stay flexible and ready to adapt. Pro tip: ask a lot of questions up front.


What Made It Work

Pulling it off required a few key moves that we now swear by when producing international events:


We hired someone local

Having a Paris-based team member made all the difference. They knew the landscape, spoke the language, and helped us avoid things that didn’t translate culturally or logistically.


We kept communication flowing

It sounds obvious, but we don’t mean just sending emails. We checked in regularly, clarified every detail, and confirmed (and re-confirmed) decisions before executing anything. Sometimes, you just have to pick up the phone and have a conversation!


We did our homework

A little cultural research goes a long way. We got familiar with how business is done in France and adjusted our approach to match—especially around timelines and formalities.


We over-prepared

Like, a lot. Backup plans, double-checked specs, confirmed deliveries. When you're thousands of miles away from your Plan B toolkit, you need to be two steps ahead.


Let’s Talk About These Venues

Because wow. We couldn’t have asked for more iconic and inspiring backdrops.


The Hoxton Paris – A total dream for modern-meets-historic vibes. Tucked in the 2nd arrondissement, it gave us 18th-century architecture with just enough edge to feel fresh. Perfect for intimate gatherings and sleek brand activations.


Salons des Miroirs – Straight out of a movie set. All mirrors, marble, and grandeur. Located in the Passage Jouffroy, this space brought the drama in all the right ways for a 90-person meeting.


Riviera Fuga – Floating on the Seine with views of the Pont Alexandre III and the Grand Palais, this spot served full French Riviera fantasy. Sunset, champagne, and Paris landmarks in every direction? Yes, please.


What We Learned

International event planning requires understanding the people, place, and process of our host country. When you invest in strong local relationships, plan for the unexpected, and approach every detail with respect for the destination, you create something way more meaningful than just a well-run event.
