When is the best time to host an event in Chicago?

Chicago is a great destination year-round, but spring (April–May) and fall (September–October) are especially popular thanks to comfortable weather and strong hotel availability. Summer is ideal for rooftop receptions and outdoor events, while winter often offers greater venue availability and seasonal pricing. We help clients choose the best season based on their goals, attendee travel, and budget.

How far is O'Hare from downtown event venues?

O'Hare International Airport (ORD) is approximately 17 miles from downtown Chicago, with travel times typically ranging from 30 to 60 minutes depending on traffic. The CTA Blue Line also offers a convenient connection between O'Hare and the Loop in about 45 minutes. Our team coordinates airport transfers, executive transportation, group shuttles, and VIP arrivals to create a seamless experience from the moment your guests land.

Do event venues require union labor?

It depends on the venue and the scope of your event. Many hotels, convention centers, and large venues operate with union labor for services such as audio visual production, electrical work, rigging, and material handling, while other venues offer more flexible staffing options. We'll help you understand these requirements early in the planning process so there are no surprises.

What are the best neighborhoods for corporate events?

It depends on the experience you want to create. The Loop is ideal for conferences and meetings, River North for networking events, Fulton Market and the West Loop for modern venues, Streeterville for easy access to hotels, Navy Pier, and the lakefront, and Hyde Park for a distinctive cultural setting. We'll help you find the neighborhood and venue that best fit your goals, audience, and budget.

How far in advance should I start planning an event?

For conferences, annual meetings, and larger corporate events, we recommend beginning the planning process 6–12 months in advance to secure preferred venues and vendors. Smaller meetings and executive events may require less lead time, but starting early provides greater flexibility, better availability, and more opportunities to create an extraordinary experience.
